Files in the library
Learn the three file groups, who sees each one, and how to open, preview and download files.
Under the presentations, the Files section lists the files in your library. It shows a count, such as 3 files.
The three groups
| Group | What it holds |
|---|---|
| Public Assets | "Files viewers can open or download from a presentation." |
| Knowledge | "Files the assistant can answer from." |
| My Library | "What you send us to build from." |
Your role decides which groups you see.
| Role | Groups you see |
|---|---|
| Viewer | Public Assets. You can open and download these files. |
| Creator | Public Assets and Knowledge. You can open Public Assets files only. |
| Admin | All three groups. You can open every file. |
Viewer, Creator and Admin explains the roles.
Show one group
If you can see more than one group, a group of buttons named Show files lets you choose All, or one group. Viewers see a single group, so they have no buttons.
If a group is empty, you see a note that begins Nothing in and names the group. If there are no files at all, you see No files yet.
Open, preview and download
Each file has a row, or a card in grid view, with these actions:
- Open opens the file.
- Copy link is on Public Assets files that have a link. Share a link explains it.
- More opens a menu with Preview and Download.
Preview a file
Select a file's thumbnail, or choose Preview from the More menu. The preview has Previous file and Next file buttons, and works with the left and right arrow keys. It also has Open, Download and Close.
Some previews are limited:
- "Showing the first page only." The preview shows page one. Open the file to see all of it.
- "Showing the first 100 KB of this file." The preview of a text file is cut short.
- "No preview is available for this type of file." Open or download the file instead.
Add or change files
Admins add files to My Library. See Add a file. Files in Knowledge and Public Assets are managed by your Predictive Presentation Technologies contact.
